What is On-Demand?
On-Demand also referred to as “Cloud Computing”, is a delivery model of software and related services where an application provider hosts and manages a software solution, licenses it on a subscription basis, and users access it via the Internet. Our hosted ERP application is deployed via a secure socket layer (SSL) to ensure secure end to end communications. myGPcloud is an on-demand solution that you can procure anytime of the day within 5 minutes!
How does pricing work?
myGPcloud is provided on a simple subscription basis. There are no large up-front costs and no setup charges but instead an affordable monthly fee based on the number of users. No annual commitments are required. All fees are calculated on a monthly basis depending on the number of authorized users. Everything is included within the single monthly fee – software, hardware, support, training resources, and on-going system maintenance. A 30-day trial period is offered to prospective users. What happens during a 30 day trial period?
We want you to be convinced that myGPcloud is the right hosted ERP solution for you, so we offer all prospects a database specifically generated for you to use during a 30 day trial period. Your database is secure and unique to your company. Only users with the appropriate roles and logins will be able to access your data. During your trial period you will be sent helpful tips and videos as to how to use and setup your Microsoft Dynamics GP system. If your 30-day period has lapsed, we will maintain a copy of your database for an additional 30 days.
What will my trial database contain?
Your trial database will contain the list of modules you selected, plus a predefined chart of accounts based upon your selections. We have specific charts for manufacturing, professional services, distribution or general business companies. Each database comes with predefined financial statements such as: A detailed and summary Balance Sheet, a detailed and summary Income Statement and a Trial Balance.
How will my chart of accounts be organized?
Your chart of accounts can be as little as one segment or as many as six. The maximum characters in each segment are limited to 5 alpha or numeric digits. Once you are in your database adjustments can be made to your chart or a chart of your own may be imported.
Will I be able to integrate data from outside sources into Microsoft Dynamics GP?
You will be given access to Integration Manager which will allow you to import data into your database.
How many users or company databases will the customer be limited to?
myGPcloud will allow for one production and one test database at procurement. Additional databases can be added later. A maximum of 5 databases will be allowed under this offering. In our current hosted ERP offering we are capping the number of users at 15. Should your customers needs go beyond 15, we have customized pricing and deployment options available. Can I start with myGPcloud and migrate on-premise in the future?
Yes. myGPcloud hosted ERP is based on the same code as Microsoft Dynamics GP Business Essentials and Advanced Management on-premise versions. If you elect to move to an on-premise deployment moving is just a matter of purchasing an on-premise license and restoring your database. No upgrades and no data conversion is required.
Can I customize my myGPcloud database?
Yes, you can customize your database in several ways:
- Modify standard or create custom reports.
- Choose or create several business and performance management dashboards.
- Customize your financial reports and create as many as you like.
- Customize interfaces by moving or hiding fields, changing labels or adding new fields.
How is support handled?
We have technical support for connectivity which is available 24/7/365. We also have application support which is available from 8 AM – 8 PM EST. Many tutorials, step by step instructions, and videos are available free of charge. Also, each customer will be given access to the Microsoft Dynamics CustomerSource site. Microsoft Dynamics CustomerSource is an information-packed, password-protected site for customers who use Microsoft Dynamics products. Included as a benefit of hosting, CustomerSource allows you to search a powerful Knowledge Base for Microsoft Dynamics, view unlimited online training for Microsoft Dynamics, and find other timely information and resources virtually 24 hours a day. What if I want a separate database for testing and training?
You are provided with two databases; the one you name during the procurement process and a sample database called Fabrikam. The company named database is your live system. If after you make your system settings and initial setup and you would like us to copy that to another test company, please contact support and we will assist you. We highly recommend a test database for process modeling, testing and training.
What about system upgrades?
As myGPcloud is a hosted ERP (enterprise resource planning) system, so there’s no hardware or software to install or maintain –we handle all that for you. Ongoing software updates and system maintenance are provided as part of your monthly hosting fees. You will be given at least a 72 hour notice for any maintenance or upgrades that are required.
What about system availability?
RoseASP our hosting provider guarantees 99.5% system uptime, excluding scheduled maintenance times. All systems are monitored 24×7 for usage, disk space, bandwith consumption and general performance. All users are given a support number manned 24/7/365 for issues concerning connectivity and printing.
How many data centers do you have and where are they located?
myGPcloud powered by RoseASP is hosted in two separate SSAE No. 16 certified datacenters located in San Diego, California and Scottsdale, Arizona.
What is SSAE No. 16 certification?
The American Institute of Certified Public Accountants (AICPA) developed the Statement on Standards for Attestation Engagements (SSAE) No. 16, certification to validate that a company has been through an in-depth audit of their control processes. SSAE No. 16 Reporting on Controls at a Service Organization (SOC1, Type 2) is a detailed audit that shows prospective and current customers that the organization has been thoroughly checked and deemed to have satisfactory controls and safeguards in place either when hosting or processing information. Public companies that are required to maintain SOX certified will be given access to the SSAE 16 Audited reports as part of their annual SOX compliancy requirements. The new service organization reporting standard, Statement on Standards for Attestation Engagements (SSAE) No. 16, is effective as of June 15, 2011. SSAE 16 supersedes Statement on Auditing Standards (SAS) No. 70 with the professional guidance on performing the service auditor’s examination.
Do you have fail over capabilities in place?
Yes. Within the main datacenter, we have redundant systems to protect against major system failure(s). In the event that the Scottsdale datacenter experiences a catastrophic event where it is inoperable, an off-line system in a second datacenter located in San Diego, CA will be brought on-line.
How is data backed up?
The production database is backed up in real-time to disk each night. Each week a backup is removed from our datacenter and stored offsite in a secure location. Monthly backups and yearly backups are retained offsite as well.
How do we get our data if we decide not to use the service any further?
At the end of the subscription term, if you choose not to renew, myGPcloud will make available a backup of your data including all reports and customizations and deliver it to you at no further charge, some restrictions apply.
Are MAC’s supported?
Yes, we support all MAC’s and PC’s. A monthly MAC administration fee of $25 per month will be included in your monthly user fees. This covers all MAC users from a company.
